Scotiabank Girls HockeyFest

Challenge: 

Build on a great property by adding data capture, a consumer friendly check-in process and on-site experience.

Scotiabank Girls HockeyFest has grown in popularity over the years. This national event series gives girls the opportunity to learn hockey skills from knowledgeable and experienced female hockey players. With its growth in popularity and attendance, it was time to revamp the website and find a digital solution for in-market events. In previous years, there was the desire for a simplistic or timely way to manage and edit registrations and then transition these registrations to on-site event check-in. The process traditionally was done on paper. In addition, it was time consuming to send photos to guardians because data entered at registration was not accessible during photo capture.

Solution:

Use the Limelight Platform to easily manage and edit registrants information, move people from waitlists to confirmed sessions and then digitally check-in the registrations on-site at event.  Also, leverage Limelight’s photo share feature and instantly send photos to guardian’s emails addresses provided at registration.

Pre-Event

  • A RSVP website which was designed, managed and hosted by Limelight, provided a platform for player registrations.
  • Triggered confirmation emails were automatically sent to registrants.
  • If a session was full, a triggered waitlist email was deployed.
  • Reminder emails were sent to those who were confirmed.
  • Limelight also provided ongoing microsite monitoring and management.
  • Backend portal allowed Scotiabank to login and make any scheduling and adjustments to registrants as needed.
  • Limelight’s on-site app was quickly and easily downloadable
  • pre-event – no hardware set-up required.

At the Event

  • All players registered through the RSVP microsite were synced to the Guest-List Manager feature. Attendees were checked-in on an iPad, removing the need for printed check-in list.
  • At check-in, attendees were required to digitally sign a waiver, removing the previous method of signed paper waivers and manual data entry.
  • A new guest could simply be added at check-in.
  • Limelight provided a photo share solution for capturing photos of guests while at the event.
  • During photo share, all player check-in names were prepopulated in a dropdown menu. The player name was chosen, their photo was then taken, then emailed to address provided at RSVP registration.

Post-Event

  • Data captured was reconciled and event activity was compiled for assessment of event success.
  • Real-time analytics were available at all stages of event process.

Results:

  • Limelight provided a solution for reducing hours and user of multiple tools.
  • Microsite database was easily synced with the on-site app reducing coordinating hours and reducing the risk of human error.
